Temporary Executive Assistant, Mansfield

Your new company
My client a leading public sector organisation in Mansfield is looking to appoint a temporary to permanent Executive Assistant to support their leadership team.

Your new role

  • To support the Chief Executive and Director of People and Transformation in the delivery of their duties.
  • To support the wider Executive and Board in carrying out their duties effectively.
  • To assist Heads of Department and contribute towards other tasks so that the Authority operates effectively and meets its corporate objectives.
  • To support with special programme/projects aligned to corporate initiatives.

Duties will include

  • Proactively manage the Chief Executive and Director's time. Maintain email and electronic diaries, manage stakeholders, make travel/accommodation arrangements, process expense claims and any other administrative tasks as they arise.
  • To act as gatekeeper and first point of contact for the Chief Executive and Director using own initiative to resolve issues and respond to queries as appropriate.
  • To produce presentation formats as instructed in readiness for meetings.
  • To effectively communicate and influence both internally and externally, at all levels, maintaining a professional manner that reflects the Authority's values and behaviours.
  • To acknowledge and deal with correspondence, producing draft responses where possible ensuring confidentiality at all times.
  • To co-ordinate the submission of timely reports by Heads of Department to the Chief Executive and Director.
  • To co-ordinate reporting to the Board and its committees.
  • To minute a variety of meetings and (whether manuscript/audio/shorthand) in a speedy and accurate manner.
  • To sign agreed correspondence on behalf of Executives and non-Executives in their absence.
  • To undertake any other duties as requested by the Executives.

Programme & Project Management:

  • Co-ordinate programme/project activities, including the monitoring and updating of individual project plans in co-ordination with the project manager
  • Assist with reporting at project and programme level, including the design, production and sharing of summary & dashboard reports
  • Ensure that data is received as scheduled and any missing data is followed up on in a timely manner. Analyse/review data presenting highlighting key themes/issues.
  • To provide Programme and Project support services as assigned.
  • To ensure that effective Change Management procedures aligned to the transformation programme are carried out.


What you'll need to succeed
You will need to be a proven PA that has worked an board level. Ideally you will have supported a CEO and HR Director and be familiar in working in a similar environment.
