Gleeds has an exciting new opportunity for an experienced Administrator to work in a demanding, fast paced and rewarding environment, in our Nottingham office.

Reports to: Bid Manager

As an experienced Administrator you will be proactive in completing the tasks in hand, with the ability to hit the ground running. You will play a key role in supporting work winning activities, led by a busy national Corporate Bid Team.

You will be a supportive, confident team player, who remains calm under pressure and has excellent attention for detail. You will have fantastic communications skills and be confident when talking to all levels of the business. If desired, there are opportunities for growth within the team.

Key Responsibilities:

Daily Duties:

- Management of the Corporate Bid Team inboxes, responding to queries, and distributing tender notifications and new opportunities in an efficient and timely manner.

- Reviewing and distributing new tender opportunities.

- Coordination of team trackers, systems and processes.

Other Duties:

- Typing and formatting of bid documentation (Word, Excel and PowerPoint).

- Coordinating and updating the bid information library for use in submissions (i.e. CV's, case studies, images, statistics, and boilerplate text).

- Maintaining membership profiles on tender portals.

- Liaising with internal teams and external clients in order to source information.

- Assisting the Team with the bid aftercare process, including extracting and saving information for use in subsequent bid submissions.

- Compiling bid statistics for management reports.

- Undertaking of general and ad hoc administration duties, including coordination of team meetings, minutes, and some travel arrangements.

- Completion of basic tender information (i.e. Pre-qualification Questionnaire (PQQ)).

- Assist in proof reading bid submissions.

Qualifications

- Qualification/s in Business Administration would be preferred, but is not essential.

- Strong command of both spoken and written English (mandatory).

Experience

- A proven track record in administration (mandatory).

- Experience of working as part of a team - needs to have a strong sense of responsibility for the success of a busy team.

- Experienced in using Microsoft Office - Excellent at Word and PowerPoint formatting, and Excel numeracy and formula skills. Adobe InDesign experience is advantageous, but not essential.

- Ability to demonstrate attention to detail and adherence to Corporate Guideline standards.

Person Specification

We are looking for an enthusiastic, passionate and determined administration professional, with a positive 'can do' attitude.

You will be a team player with excellent communication skills, but still be able to work on your own initiative, and to a high quality.

You will be confident when working to tight deadlines, in high pressure situations, with strong time management, planning and organisational skills.

You should be meticulous and persevering, with an excellent attention to detail.

Ability to communicate at different levels of the organisation and have a proactive nature with an ability to show initiative, and be able to adapt quickly to the company's culture and way of working.
